Terms and conditions

The European Scout Foundation is excited to inform you that we are currently undertaking an internal process to provide further guidance on our funding criteria and transitioning to a new grant management tool already known to NSO/As as it is the same as the one used for MoP applications.
This transition will be occurring over this summer 2021 and a communication with more information will be shared soon.
Meanwhile, because of the time it takes to implement the new system we pause receiving and reviewing any new project if it isn’t really urgent.
Thank you for your understanding,
Yours in Scouting

Privacy Notice

Data protection and security are important to the European Scout Foundation (“ESF”; “we”). We are committed to processing your personal data responsibly and in compliance with legal requirements. This Privacy Notice describes how ESF collects and processes your personal data when you visit europeanscoutfoundation.com (“Website”).

Personal data we collect and process in order to make the Website available

You can visit the Website and obtain information about our services without telling us who you are. As with any connection with a webserver, however, the server of our webhosting provider logs and temporarily stores certain technical data.

Such data includes the IP address and operating system of your device, the date and time of access, or the type of browser you use to access the Website. This is required for technical reasons to make the Website available to you. To the extent we, thereby, process personal data, we do so based on our interest to make our Website available and to bring you the best possible user experience.

Data we collect in order to process your applications or donations and to inform you about new developments and projects

If you use application forms on the Website (e.g. to join the Friends of Scouting in Europe – FOSE, or to submit a project and apply for funding), or if you choose to donate, we will collect the information that you provide to us.

This will regularly include the contact information (name, address, phone number and email address) and date of birth of the applicant or of the contact person at the organization submitting the project. In order to process donations in support of ESF or donations for specific projects, we will collect your billing information and collect transaction data (amount of donation and payment confirmation).

Our processing of this personal data is necessary for the purposes of performing our donation contract with you, or processing and managing your submissions of projects. Furthermore, we will use this personal data based on our interest in informing donors and the Friends of Scouting in Europe about new developments at EFS and about past or new projects submitted by scouting organizations. We will do so, in particular, in our newsletters. However, you may at any time opt-out of receiving our newsletter.

Why and how we use cookies

We use cookies on the Website to provide you with the best possible user experience and to help us improve our services. Cookies are text files that are downloaded to your computer or mobile device when you visit a website or use an application.

Some cookies we use are necessary in order to make available certain functions of the Website (e.g. the application form or the shopping cart function of our web shop). Specifically, we use the service Woocommerce to allow you to select projects and to add them to your shopping cart in our web shop. Woocommerce sets cookies that help it to keep track of the shopping cart data and to make our web shop more user friendly.

How we process and protect your personal data; how long we store it

We collect and process your personal data responsibly, as set forth in this Privacy Notice or in accordance with applicable laws, and only for the purposes for which it was collected.

We apply adequate technical and organizational security measures, commensurate with the level of known risk, in order to protect the confidentiality and integrity of the personal data we collect on the Website. We store your personal data only for as long as this is necessary for ESF to fulfil the purposes for which it was collected, or when applicable, for as long as ESF is legally required to retain the data.

How we disclose your personal data

We do not share your contact information or transaction data with the organizations that you support with your donations. However, we do publish a list of Friends of Scouting in Europe. The list contains your name and country. You may at any time opt-out from being included in that list.

The rights you have regarding your personal data

You have certain individual rights regarding the personal data that we collect and process about you through the Website.

You have the right to access or receive certain information about the personal data we process about you. You also have a right to have your personal data rectified, to object to the processing of your personal data, or to ask us to restrict processing or delete your personal data.

Please note, however, that your rights are subject to exceptions or derogations. Where legally permitted to do so, we may refuse your request to exercise these rights. Specifically, we may need to further process and retain your personal data in order to perform a contract with you or your organization, to comply with legal obligations or to protect our own legitimate interests. However, you have a right to lodge a complaint with a competent supervisory authority.
